How your data is handled

How a client's data is handled

This is the one-page statement every client signs before they share anything with me. Each client's copy names their own accounts and dates; this is the general version. It is part of our agreement, and any change to a client's copy is made in writing and signed by both of us.

1. The system lives in your own accounts. Nothing is hosted by InspiredWorkx.

2. Who processes your data. Claude is provided by Anthropic under your own Claude Team or Claude Enterprise agreement. Anthropic may route traffic through the United States, Europe, Asia and Australia; we found no in-region storage option for Claude organisations; data is stored in the United States. Your email, documents and pipeline stay with your own providers, such as Google, Microsoft, Notion or your CRM provider, under your agreements with them.

3. Training. Under a Claude Team or Enterprise plan, Anthropic does not use your inputs or outputs to train its models by default. Two exceptions exist: a thumbs-up or thumbs-down rating that someone in your organisation gives a response may be kept for up to five years and used for training, and data is used if your organisation opts in to a programme that shares it. We switch off chat ratings in your organisation during the Install, with your owner's agreement. We will never opt you in.

4. What your plan does and does not include. Audit logs, the Compliance API, custom retention periods, SCIM provisioning and custom roles are available on Claude Enterprise only. If your organisation is on Claude Team, none of these is available; Enterprise is available from 20 seats.

5. What InspiredWorkx can see. During the Install, Travor Akwenye ([email protected]) holds the Owner role in your Claude organisation so that he can install the plugin, add connectors and set up the shared project. He works with the material you place in the library, your pipeline records and the 20 to 40 past enquiries and proposals you choose as test examples. He does not have access to your mailboxes, and he will not open any member's private chats or projects. Under Operate his role is User. Every access, with its purpose and planned removal date, is recorded in the access register you hold. Outside your accounts, InspiredWorkx keeps only our correspondence with you and the monthly totals you agree to share: enquiries, proposals sent, hours spent, work won.

5a. During the Diagnostic. The one access is a shared folder that you create and own in your Google Drive or SharePoint; it is recorded in the access register and ended when the report is delivered. The material you put in it is summaries, with names and contact details removed. Anything Travor checks against your own systems, he checks on your screen. No client material is copied into any InspiredWorkx account or tool. If you have a Claude organisation, any Claude analysis happens inside it. InspiredWorkx keeps only the report and the invoice.

6. Nothing is sent without a person approving it. Sending is blocked in your email connection; Claude can only prepare drafts, and every step ends at a draft for a person at your firm to approve. This is tested every month with a request to send that the system must refuse. The approval map attached to each client's statement lists each workflow, who approves it and what is blocked.

7. Data we will not take on. The system is not used for health records; payment card or bank account numbers; government identity numbers; special category data under the UK and EU GDPR (Article 9: racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic, biometric, health, sex life or sexual orientation); and criminal offence data. If such data appears in your proposals or pipeline, tell us and we will exclude it.

8. When you leave. Your Primary Owner removes our account; the access register records the date. Everything installed in your organisation stays, including the plugin, the shared project, the connectors, the pipeline and the configuration repository, and you keep a perpetual, non-transferable licence to use the installed version internally. Within five working days we delete any working copies we hold and confirm it to you in writing.

What the website's forms store

This part is about the website itself, not about client work. Inspiredworkx, Inc. is responsible for this data. I keep it in the website's database at Supabase, in Sydney (ap-southeast-2), and Resend sends the emails the forms trigger. No form asks for a phone number or an industry, and none stores your network address as it is: each form keeps a scrambled code made from it, for 30 days, to stop spam and repeated sending. The full list of the companies involved, and your rights, are in the privacy notice.

What the website's forms store
FormWhat it storesWhereHow long
Book a Diagnostic (/contact)Your name, firm, role, firm size (a range), your answer to "How does your firm win work today?" if you give one, your email, whether you ticked the newsletter box and when, and how you found the site (the page that referred you, the page you landed on, and any campaign tags in the link)The website's database; a notification to Travor by email24 months after our last contact, then deleted. If you become a client, I copy what I need into my own pipeline. Anything marked as spam is deleted after 30 days
The scorecard (/scorecard)Your fifteen answers, your scores and band, how long you took, whether your answers join the anonymous average, and how you found the site. Only if you give them: your firm size and your role. Only if you ask for the written result: your email, and whether you ticked the newsletter boxThe website's database; the written result by email12 months. Then your result and your email are deleted, and your result link stops working. If you agreed to join the anonymous average, only your answers stay in it, without your email or anything else that identifies you. "Delete my result" on your result page removes the whole record at once. Answers sent in under 20 seconds are treated as automated and deleted after 30 days
Ask for a community invitation (/community)Your name, firm, role, firm size (a range), your email, and the decision on your requestThe website's database; a notification to Travor by email12 months after a decision, or 24 months if no decision is made, then deleted
The newsletter (any page)Your email, when you subscribed and, if you leave, when you unsubscribedThe website's database and Loops, which sends the newsletterUntil you unsubscribe. After that only your email is kept, on a do-not-send list, so that you are not emailed again
Free templates (/toolkit)Nothing. Downloads need no email. The newsletter box beside them is optional and stores what the newsletter row saysNot applicableNot applicable
Buying a playbook (/playbooks)Payment is taken by Stripe, on Stripe's own checkout page; the website never sees your card. The website keeps your email and what you bought, so that you can download it.Stripe; the website's databaseFor as long as you can download what you bought; order records are kept for 7 years for tax.

Newsletter emails go only to people who ticked the box. Each one carries a link to unsubscribe and InspiredWorkx's postal address. Newsletter emails tell Loops when they are opened and which links are clicked.

How the scorecard's anonymous average works

The scorecard can show how your score compares with other firms that took it. It shows nothing until at least 30 qualifying results exist for the same version of the questions, and no figure is ever worked out from fewer than 10. A result qualifies when the person agreed to join the average, took at least 60 seconds, did it in the last 24 months, and was not a test; where an email was given, only the latest result per email in any 90 days counts. "Higher than" means strictly higher. Every figure says how many firms it is based on, and that those firms chose to take the scorecard, so it is not a random sample.
